Configuration

There are two views of a course with groups: a group list and a detail view for each group. Settings in the group list apply to all groups. Settings in the detail view apply only to the selected group.

The group configuration is available for future semesters from the beginning of the feedback phase for course scheduling.

Group list

There are two settings that can be made here. They apply to all groups and concern the group choice by students in myStudies.

Parameter "Group choice in myStudies enabled"

The parameter "Group choice in myStudies enabled" opens (values "Yes" or "Initial only") or closes (value "No") group choice for students. Only if the group choice is open for students, will they be prompted in myStudies to select a group. "Initial only" means that once a student has chosen a group the choice is fixed and cannot be changed at a later stage. If the group choice is opened after course registrations have already been made, the students who have already registered for the course must be informed manually about the additional necessity of group selection.

If you close the group choice in myStudies after groups have already been chosen, these group choices will persist and students will no longer be able to change them in myStudies. Changes can then only be made in the backoffice by the responsible study administration.

Date "Group choice in myStudies until"

The date "Group choice in myStudies until" defines an end date for group selection by students in myStudies. This date is valid until 11:59 pm on the set day. Until this date expires, students can change their group choice in myStudies if "Group choice enabled" is "Yes". After this date has expired, students can no longer select a group or change their chosen group. This means that students who make a new registration for the course after this date will not be able to select a group in myStudies. They would have to be registered for a group manually by the responsible study administration.

If no end date is specified, groups can be selected and, provided that "Group choice enabled" is "Yes", also be changed by the students for an unlimited period of time. Of course, only groups with free places can be selected.

Group size for multiple groups

The number of places can be set for multiple groups at once (bulk update). To do so, check the checkbox of the desired groups in the list of groups, add the desired number in the input field and click on "set number of places". See also parameter "number of places".

Group details

The configuration options that are available for each group concern the assistants assigned to each group, the size of the groups ("number of places") and any notes. In case you wish to change the group name or its time & place, please report this to the responsible schedule coordinator in the department who is indicated in the page header under "Administration".

Assigned Assistants

You can assign any number of assistants to a group using the People Search for Assistants. The names of the assistants are displayed in myStudies for students when choosing a group.

Parameter “Number of places” (group size)

With group choice open, a group can only be selected in myStudies as long as the number of registered participants does not reach the "number of places" entered here.

If group choices already exist and the group size is set to a value smaller than the number of registered participants, all group choices will persist. They can only be deleted or reassigned in the backoffice by the responsible study administration.

Possible values:

  • Integer: Maximum number of places in a group.
  • 0: A group cannot be chosen by students and hence effectively remains closed.
  • Empty: The group size is unrestricted (will be shown as "-" in the list).

Free text “Notes”

The free text entered here can comprise a maximum of 1000 characters. It is displayed to students as information during group selection in myStudies. For example, the teaching language of a group could be specified here.

Section “Further Information”

Here you can see the allocation restrictions for the selected group as well as all groups that cannot be chosen by students together with the selected group ("forbidden group combinations"). If you wish to make changes to these settings, please report them to the responsible schedule coordinator in the department who is indicated in the page header under "Administration".
